eShop privacy policy

eShop is a service for shops: a till, stock, job cards, debts and books. It is run by Studio 13 Developers, Kampala, Uganda (“we”). Questions or requests: eshop@studio13developers.com.

What we keep

Your account: your name, email address, phone number (if you give it) and your password, which is stored scrambled (hashed) so nobody can read it. We also record when you sign in and from which internet address, to protect your account.
Your shop’s records: what you and your staff enter, such as products, prices, stock, sales and receipts, payments, expenses, suppliers, customers (names, phone numbers, what they owe) and workers (names, phone numbers, earnings, a photo for their card if you add one). A worker’s PIN is stored scrambled like a password.
Payments: for mobile money we keep the amount, the phone number and the transaction reference. If your shop connects a payment provider (for example MTN MoMo, Airtel Money or Flutterwave), the payment request goes to that provider, which has its own privacy policy. eShop never sees or keeps card numbers or mobile money PINs.
On your phone or computer: to keep selling without internet, the till saves the shop’s product list and the sales made offline in the browser on that device until they upload. Your light or dark choice and menu layout are kept there too. Signing in uses a cookie.
The camera is only used, when you press a scan button, to read a barcode or QR code. The picture is not saved or sent anywhere; only the code it reads is used.

How we use it

Only to run eShop for you: to sign you in, keep your shop’s records, work out totals, stock, commission and debts, send the reminders or receipts you choose to send, keep the books balanced and secure, and help you when you ask. We do not show advertising, we do not sell or rent your information, and we do not use analytics or tracking services from other companies.

Who can see it

The people your shop invites, as far as their role allows (for example an attendant cannot see costs or the books).
If you sign up as a shopper and show your eShop QR code at a shop, that shop sees your name and your points at that shop.
Studio 13 Developers staff, only to keep the service running, to fix a problem you report, or when the law requires it.
Our hosting provider stores the data on its servers for us; it may be outside your country.

Shops are responsible for their customers’ details

When a shop records its customers or workers in eShop, the shop decides what to record and why; eShop keeps it on the shop’s behalf. Customers who want their details corrected or removed should ask the shop, or write to us and we will pass it on.

How long we keep it

Your account is kept while you use it. If you ask for your account to be deleted (see Delete an account), we close it at once and erase your name, email, phone and sign-in within 30 days. A shop’s sales, stock and books are business records: they stay with the shop for as long as the shop needs them or the law requires, but no longer show who you were. A shop owner can ask for the whole shop to be closed and its records deleted.

Keeping it safe

Pages are sent over an encrypted connection (HTTPS). Passwords and PINs are scrambled. Every change to records is written to an audit trail that cannot be quietly altered, and backups are encrypted. No system is perfect: tell us at once if you think your account has been misused.

Your rights

You can see and correct your details in eShop, ask us for a copy, and ask us to delete your account. eShop follows Uganda’s Data Protection and Privacy Act 2019 and respects similar laws in the other countries where it is used. You may also complain to the data protection authority in your country (in Uganda, the Personal Data Protection Office).

Children

eShop is for people running or working in shops. It is not meant for children under 18.

Changes

If we change this policy we will update the date above and, for important changes, tell account holders in eShop.
